Price guide, September 2026
How much does a custom booking system cost?
A custom booking system starts at about $5,000 and rises with the rules it has to follow. Simple appointments sit at the bottom. Classes with payments and a staff dashboard sit in the middle. A platform where partners manage their own bookings is its own build. Here is what moves the number.
Three bands
| What it does | What that means | Price |
|---|---|---|
| Appointments, one calendar | One business, one schedule, customers pick a slot and pay. No partners, no packages. | From $5,000 |
| Classes and events with payments | A schedule with capacity, filters, prices per class, payments, and a dashboard for your team. | $5,000 and up |
| A platform with partners | More than one kind of user: instructors, therapists or venues who manage their own bookings and customers inside your platform. | Quoted per build |
For context, published prices for custom web apps run from about $5,000 to $30,000 and up in Lebanon, and from about AED 18,000 into six figures in Dubai. Booking systems sit inside that range, near the bottom when the rules are simple.
What moves the price
- How many kinds of user. Customers only is one system. Customers plus staff is more. Customers, staff and partners who each manage their own bookings is a platform.
- Your pricing rules. One price per slot is simple. Packages, memberships, prices that differ per instructor or per season, and discounts each add work.
- Payments. Taking payment at booking, deposits, refunds and cancellations are separate problems, and each needs testing against real money.
- Capacity and calendars. Rooms that cannot be double booked, staff who work certain hours, holidays, waiting lists.
- What it must connect to. Your accounting, a CRM, WhatsApp or email confirmations, Google Calendar.
- Moving your existing data. Bringing customers and future bookings across from your current tool.
What you also pay for
- Hosting: a booking system is a web app, so it costs more to host than a plain site, though usually far less than a monthly booking subscription.
- Payment fees: a percentage per transaction, set by your payment provider, not by me.
- Care and maintenance: from $99 a month, because a system that takes money needs updates, backups and someone to call.
How to get a smaller number
- Write down what must work on day one, and what can wait. That single list is usually worth thousands.
- Start with one location or one service and add the rest after launch.
- Keep your current tool running while the new system is built, so nothing is rushed.
- Have your data exportable. Clean customer and booking exports make the move cheaper.
An example of the middle band
Savant, an event space in Dubai, takes class and event bookings with online payment, and gives the instructors who rent the space their own CRM dashboard with their bookings and guests. Read the case study, or see what the service includes on the booking systems page.
Questions people ask
Why is there no fixed price list?
Because two booking systems that sound the same can differ by a factor of five. The price follows the rules: who books, who else logs in, what can be cancelled, how payment works, and what has to talk to what.
Can we build it in stages?
Yes, and it is usually cheaper. Build the version that takes real bookings, launch it, then add the rest once you know what your customers actually do.
Do I pay a fee on every booking?
Not to me. A custom system has no per-booking fee. You pay hosting, your payment provider’s percentage, and care if you want it.
What about the booking tool I already use?
If it does the job, keep it, and I will say so. The comparison, with a three-year cost example, is in the guide linked below.
